How it All Works

All Canadian government departments and agencies subject to the Treasury Board's Communications Policy are responsible for participating in the Depository Services Program. Whenever a manuscript is completed within one of the participating departments, the department is required to obtain an ISBN and catalogue number for the manuscript from the Depository Services Program. Cataloguing-in-Publication information, required by the Treasury Board Communications Policy, is also available from the DSP.

Once the catalogue number and ISBN have been assigned, the Program determines the quantities it needs. Communication Canada - Publishing works closely with the Program to assist federal departments and agencies co-ordinate these requirements. The quantity of a publication set aside for Checklist orders will vary, depending on whether the publications is of specific or general interest.

At the end of the week the documentation section collects the set of records representing the publications received during the week, and produces a print and electronic version of its Weekly Checklist. The file is then immediately posted on the DSP's Web server, and the print version is mailed to all selective depositories. Selective depository libraries use either the print or electronic format to select those items on the Checklist that they require, and then send their requests to Communication Canada - Publishing. The orders are processed and sent to depositories free of charge. Full depositories receive the Checklist together with a weekly shipment of all the publications listed therein.
