Responsibilities of the Depositories

Full Depositories

  1. to maintain a comprehensive collection of Government of Canada publications

  2. to provide inter-library loan service on depository material no longer obtainable from other sources unless it is designated as part of the current reference collection of the depository

Selective Depositories

  1. to maintain depository material in good condition

  2. to request publications according to the instructions printed in the Weekly Checklist, to take note of and to observe any special instructions issued by the Program from time to time, in order to meet special conditions

  3. to develop a brief selection policy for federal publications and to make it available, in writing, to the Program

All Depositories

  1. to maintain depository material in good condtion

  2. to provide adequate physical facilities to support consultation

  3. to record the publications they receive and to provide a reference service for them

  4. to designate an officer to administer the depository's responsibilities under the the Program, and to notify the DSP of the name of this officer as well as of any changes in the designation

  5. to acquire such catalogues, indexes, and guides as are made available by the Program and to make these tools accessible

  6. to develop and implement, if they not already have in place, a systematic method for the processing and shelving of depository publications

  7. to make available to the Program any statistics they have or maintain on the circulation and use of the depository publications

  8. to make depository publications that are particularly timely available for use within 10 days of receipt, and all others within 20 days, although they need not be fully catalogued

  9. to publicize the existence of the depository collections they have, and to provide indications of how to approach it

  10. to notify the community and their clientele that they are a depository institution

  11. to check all shipments to ensure that they are complete, and if not, to promptly claim any missing items
