What is e-Services?
Background
e-Services is an interactive online portal through which you can submit requests
for CCI services, and track the status, history, and progress of each
submission. This service is free, but you must register (create an account) and
login to use it.
CCI has embraced the Internet as a prime means of communication since the
mid-1990s. As Web technology has increased over the years, we have expanded and
regularly updated the original site. Today, you can access a multitude of
conservation information on the site. As well, you can contact us, order
publications, register for events, and download service request forms in pdf
format.
With the introduction of e-Services, you can also submit and track your requests
online. e-Services represents the next logical step in the evolution of the CCI
Web site, and supports the federal government initiative Government On-Line
(GOL).

Please review the terms of services and fees (if
applicable) before submitting a request.
Creating accounts
You must have an account to login to e-Services.
If you already have a CCI Bookstore account, you may login to e-Services using
that e-mail address and password combination. You will be asked to verify your
existing account information and identify your CCI
Eligible Client Category before being directed to your personalized
home page.
If you do not have a Bookstore account, click the Create Account button
and fill out the form. Your new account can be used for both e-Services and The
Bookstore.
Note that each e-Services account must have a unique e-mail address and password
combination.
Accessing e-Services
e-Services is accessible directly from the home page of the CCI Web site or by
clicking the e-Services logo on any page. Once logged in, a blue navigation bar
will appear at the top of the page to help you navigate through e-Services. It
contains the following links (see Figure 1):

— access forms to make service requests.

— access downloadable pdf versions of service request forms.

Logout — end your e-Services session.
The availability of CCI services is based on CCI
Eligible Client Category. If you do not have access to a particular
service request form, it is likely that your organization is not eligible for
that service.
Please note: Even if your organization is not normally eligible for a particular
service, CCI may accept your request in certain circumstances. Contact CCI
Client Services for more information.

e-Services Home
When you login to e-Services, you will be directed to your personal home page,
which includes three sections:

My e-Services
-
My CCI Notes
-
My Bookstore
My e-Services
My e-Services displays a listing of all e-Services requests you
have submitted to CCI, as well as any draft requests. Each item includes the
date the request was created, the type of request (e.g. Conservation and
Restoration Treatment, CCI Tours, etc.), the current status of the request, and
the actions available.
You can customize the presentation of this information by selecting preferred
options from the drop down lists associated with the request type and the
status (see Figure 1). Pick the “Request type” and the “Status” filters you
would like to see, and click Submit. A list of requests based on your
selected criteria will be displayed.
Note that there are four “Status” filters from which to choose:

View All
— lists all requests for the selected service type.

Draft
— lists all draft requests for the selected service type.
-
Submitted
— lists all requests that have been submitted and are being actioned by CCI for
the selected service type.

Past Requests — lists all requests that CCI has completed
action on for the selected service type.
Customizing the presentation of your information is particularly helpful if you
have a large list of requests. e-Services will remember the last options you
selected and present your requests in this order the next time you login.
Each request has certain actions available, depending on its status. Table 1
lists the possible actions.

My CCI Notes
The My CCI Notes section of your home page allows you to
maintain a selection of Notes for quick reference.
After clicking the My CCI Notes tab, you can view your selected Notes
by clicking either the html ( )
or pdf ( )
icon. Note that the html version is better for online reading and the pdf
version is better suited for printing.
To remove a Note from your list, click the Trash icon ( )
beside it.
My Bookstore
You can view and track your Bookstore purchases in the My Bookstore
section of your e-Services home page. Click the My Bookstore tab for a
record of your orders.
e-Services Accounts
You can modify your account, create an additional account, or change your
password at any time while logged in to e-Services.
Modifying your account
To modify your account information, click the Edit Account feature
under the My Account button on the e-Services navigation bar. When
your account information appears, alter the data as needed and click Submit.
Your account will automatically be updated.
You will not be able to change the organization named in your account in
this manner.
Changing your organization
To change the name of your organization, or if you no longer represent the
organization for which you have created the account, contact CCI
Client Services.
Adding additional accounts
Once you have created an account, you may use it to request services only for
the organization identified in that account. Should you wish to make a service
request for a different organization, you will need to create a second account.
There are two ways to do this:

click the Create Account
button from the login page and proceed as before
-
click the Create Additional Account feature under the My Account
button, and fill in the required fields
The second account may use the same e-mail address as the original one, but it
must have a different password.
Changing your password
Click the Change Password feature under the My Account button
to change your password at any time. When the form appears, fill in the
information and click Submit. The password to your account will
automatically be updated. Be sure to use this new password the next time you
login.
Forgetting your password
If you forget your password, click Forgot password? from the e-Services
login section of the CCI home page. You will be asked to submit your e-mail
address. Your password will be sent to that address.
Bookstore account
You can access e-Services using a CCI Bookstore account, but you will be asked
to confirm and add additional account information the first time you login.
Likewise, e-Services accounts can be used to make purchases in The Bookstore.
Service Requests
What is a service request?
When you fill out a request form and save it as a draft or submit it to CCI for
processing, it becomes a service request. All requests you
make will be displayed on your home page. Each type of request has its own
terms of service. To view the terms of service for specific request types, see
the Services section of this site.
Making a new request
To make a new service request:

ensure your account information is up to date
-
review the terms and conditions, service standards, assessment process, and
fees (if applicable) for the service
-
select the service from the New Request
button on the e-Services navigation bar
-
fill out the form and save it as a draft (to be completed later) or submit it
to CCI for processing
Draft requests
If you are unable to complete your request form in one session, you may save it
as a draft by clicking the Save as Draft button at the bottom of the
request form. The request will appear as a draft on your home page. You can
edit it by clicking the associated Edit icon ( ).
You can save multiple draft requests, but drafts that are not updated within
3 weeks will automatically be deleted from the system.
Request forms
Request forms, where appropriate, are divided into the following sections:

Request Information
— details of the request including description of the request, facility, or
object.
-
Significance
— the historic, aesthetic, social, spiritual, or research significance of the
object, site, or facility to the collection, community, or broader Canadian
cultural heritage.
-
Use
— the potential outcomes of the service (treated object, report, meeting,
facility assessment, etc.), e.g. accessibility of the object in the case of
treatment; information required for treatment in the case of analysis; new
knowledge that is generated as a result of the service.

Key Request Dates
— any dates that may affect the completion of the request.
-
File Attachments — an opportunity to attach documents and
images to further support your request.
Attaching files to requests
You can attach up to 10 MB of data to a request. To attach a file, click the Browse
button by one of the five form fields in the File Attachments section of the
form and select the desired file. You can attach up to five files in this
manner. When you click Save as Draft or Submit, the
attachments will automatically be saved with the request. The next time you
view the request, you will see a table listing all the files you have attached.
If you need to attach more than five files, attach the first five and then click
Save as Draft. Return to your home page, click the Edit icon
( )
beside the request, and attach the next five files. Repeat this process until
all files are attached, up to 10 MB.
Note that we can accept only files with the following extensions: jpg, gif, tif,
bmp, pdf, doc, wpd, and txt.
Viewing requests
To view a draft request, click the Edit icon ( )
beside the request to view the information that you have previously entered or
click the View Request icon ( )
to obtain a printable version of the request.
To view a request you have already submitted to CCI, click the View Request
icon ( ) beside the request to obtain a printable version of it.
Deleting requests
To delete a draft request, click the Delete icon ( )
beside the request on your home page. You will be directed to a confirm delete
page. Click on the Yes button and the request will be removed
permanently from the system.
Only draft requests can be deleted from e-Services in this manner.
Cancelling requests
To cancel a request that has already been submitted, you will need to contact
CCI Client Services.
Request statuses
Table 2 lists and describes the possible request statuses.

Received

The request has been received by CCI. If it does not require a formal
assessment, it will be forwarded immediately to the appropriate staff member.
If it needs to be evaluated before it can be accepted, the client will receive
an acknowledgement that we have received the request and are holding it for
assessment.

Being Evaluated
|
The request is being evaluated to determine if CCI can perform the work.
Evaluations are based on the CCI Assessment
Criteria.
|
Rejected
|
If the request does not pass the evaluation process, the client will be informed
of the decision via letter.
|
Accepted
|
If the request passes the evaluation process, CCI will prepare the contracts and
documentation required to carry out the work. The client will be sent a copy of
this paperwork for review and approval.
|
Waiting to be worked on
|
CCI has received all necessary approvals from the client, but has not yet
started the work.
|
Active
|
CCI is performing the work.
|
On hold
|
CCI has temporarily stopped work on this project.
|
Cancelled
|
Action on this request has been stopped before the request was completed
(usually because the client has withdrawn the request).
|
Referred
|
The request has been forwarded to another organization. CCI will not be
conducting further work on the request.
|
Work
Completed
|
The service has been provided. There may be some outstanding paperwork still to
be done.
|
Closed
|
All work on the request has been completed and the necessary documentation has
been forwarded to the client.
|
Request eligibility
If a request type is greyed out in the menu bar, your organization may not be
eligible to receive that service. Contact Client Services if you wish to
discuss the request further.
Request Information and Enquiries
When CCI officially records your request, activity on it begins. From this point
on, you will receive regular updates through e-Services. When an update is
made, a red exclamation mark will appear beside the request. You can see the
update by clicking the associated Request Information and Enquiries ( ) icon.
Request Information and Enquiries
This page has two components: Request Information and Request
Enquiries.
Request Information
CCI will maintain a record of your request that includes information such as
project type, status, information, leader, attachments, etc. You can view this
information by clicking the Request Information and Enquiries ( ) icon beside the request on your e-Services home page. The
information will be updated whenever certain milestones are reached or the
status of the request changes. A red exclamation mark will appear beside the
request on your e-Services home page whenever an update has been made.
Request Enquiries
If you have a specific question about your request, or would like a general
update, click the Request Enquiries tab from the Request
Information and Enquiries page. Type your question in the box and
click Submit. Your question will be forwarded to the project leader.
When the response is received, a red exclamation mark will appear beside the
request on your e-Services home page. To view the response, click the Request
Information and Enquiries ( ) icon beside the request, and then click the Request Enquiries
tab. A history of all your enquiries, and the responses, will appear on this
page.
Once you have submitted an enquiry, you will be unable to submit another one
until the first one is answered. If you attempt to submit another enquiry by
clicking the Request Enquiries tab, you will see a notice that your
latest enquiry has yet to be updated. You can notify the project leader and
e-Services manager that you are awaiting a response to your enquiry by clicking
the Send Reminder button.
To avoid this situation, you can ask multiple questions within a single enquiry.
Cancelling a request
If you need to cancel a request, contact CCI Client
Services.
Eligibility and Fees
Some e-Services are available only to certain clients, and some have a fee
associated with them. To determine which services you are eligible to receive,
determine your CCI Eligible Client Category,
and consult the Service Eligibility and Fees
tool . If you have difficulty, contact CCI Client
Services for assistance.
CCI Notes
CCI Notes deal with topics of interest to those who care for cultural objects.
Intended for a broad audience, the Notes offer practical advice about issues
and questions related to the care, handling, and storage of cultural objects.
The CCI Notes are available online for all e-Services clients. To access them,
login to e-Services and click the CCI
Notes link in the left-hand menu or the My CCI Notes tab on
your e-Services home page.
Access is free and automatic for approved clients in Canada, but must be
purchased through The Bookstore for
clients outside Canada.
CCI Notes that you use frequently can be added to the My CCI Notes
section of your home page.
Viewing Notes
You can view all CCI Notes from the CCI Notes page, or your
selected Notes from the My CCI Notes section of your home
page.
Two icons appear with each listed Note:
The html icon ( )
allows you to view the Note in html format. This is the recommended option if
you are going to read the Note online.
The pdf icon ( )
allows you to view the Note as a pdf document. This is the recommended option
if you want to print the Note as it appears in the original hardcopy format, or
save a copy to your disk. Note that most pdf Notes are more than 2 MB, and may
take some time to open or download.
An additional icon ( )
appears beside each Note listed in the My CCI Notes section of
your home page. Click this icon to delete the Note from your home page.
After opening a Note, you will see four icons on the top of the page:

Adding Notes
To add a Note to the My CCI Notes section of your home page,
click the View Notes icon ( )
or the CCI Notes link in the left-hand menu. You will be directed to the CCI
Notes page, where you will see a listing of Notes organized by
category. To view the Notes within a category, click the Expand All button
( )
beside it. Click the checkbox beside each Note you want to add to the My
CCI Notes section of your home page (if you want to add all the
Notes in the category, click the checkbox beside the category name). Click the Collapse
button ( )
beside the category name to close the list. Proceed through the categories to
choose as many Notes as you want. When you have finished, click the Submit
button at the bottom of the page, and the Notes you have selected will be added
to your home page.
You can also add a Note to the My CCI Notes section of your
home page by clicking the Add Note icon ( )
while viewing the html version of the Note.
Removing Notes
There are three ways to remove a Note from the My CCI Notes section
of your home page:

on the html version of the Note

deselect the checkbox from the CCI Notes page and click the Submit
button at the bottom
Technical Problems
If you are having technical problems, please fill out the form below and click
the Submit button. Indicate the page on which the problem occurred,
and include any error messages you may have seen.
